Caterers price events from per-head rules, not recipes. This calculator runs the same rules, so the output looks like a catering order sheet rather than a meal plan.

When a figure lands between two pack sizes, round up on ice, water and napkins. Round down on main protein. Leftover brisket is one household's problem for a week. Warm drinks are everyone's problem for the rest of the night.

Ice runs out first. It always does.

Hosts buy ice for the drinks and forget the cooler underneath them. A 30 guest cookout on a warm afternoon burns through 60 pounds, and half of that melts before the first guest arrives.

Two habits fix most of it. Chill drinks the night before so the cooler ice is not doing the cooling work, and keep serving ice in a separate bag nobody digs through with a wet hand.

Napkins are the other quiet shortage. Three per guest sounds generous until a plate of ribs proves otherwise.

How much food per person do I actually need?

For a buffet, plan six ounces of cooked main protein, eight ounces of sides and four appetizer pieces per adult. A sit-down dinner raises protein to eight ounces because guests eat what lands in front of them. A drinks-only party replaces all of that with ten to twelve appetizer pieces per head.

Why is the raw meat figure higher than the serving figure?

Meat loses roughly a quarter of its weight to water and fat during cooking. The calculator divides the cooked target by 0.75 so the number you take to the counter is the number you buy.

How many drinks per guest for a four hour party?

Four servings per drinking adult, one for the first hour and one per hour after. Warm weather pushes that closer to five. Guests who drive or skip alcohol still take two to three soft drinks each, which is why the soft drink line stays large even at a low drinking share.

Does the afternoon setting really cut food that much?

Yes. A party running from 2pm to 5pm sits between lunch and dinner, and guests arrive fed. Catering rules of thumb drop portions by about a third for that slot. If your invitation says light bites, guests behave accordingly.

What if half my guests are vegetarian?

Split the headcount and run the calculator twice. Enter the meat eaters in one pass for the protein number, then enter the full guest count for sides, salad, bread, drinks and supplies. Vegetarian mains follow the same six to eight ounce rule per person.

Is my input saved anywhere?
